Job Summary

We are looking for a skilled, people-oriented, versatile project administrator to join our PM team. This role covers a range of responsibilities, working closely with the project managers to support project work, update and maintain project documentation and facilitate communication between multiple departments. In this role, the successful candidate will:

  • Assist project managers in tracking complex projects across the complete project lifecycle, including project initiation, supply chain coordination, building, testing, documentation, and shipping.
  • Form and ensure common understanding of project timelines, milestones and priorities based on direction from project managers
  • Communicate to necessary stakeholders the project updates and overall project performance, upcoming milestones, any project changes and their effect on project timelines
  • Maintain and improve processes for design records, change requests, and overall communication through project summary reports and other documentation
  • Strengthen company compliance to ISO 9001 quality management systems 

Required Skills

  • 1+ years experience in office administration or a closely related role, preferably in a project management context
  • Ability to excel in a dynamic environment with changing priorities and tasks
  • Passion for enabling others to excel in their job role and commitment to shared success
  • Strong interpersonal communication skills and emotional intelligence
  • Strong organizational skills and ability to initiate/manage value-adding projects
  • Ability to bring creativity and positivity to problem-solving in high-pressure situations
  • Core technical literacy (computer terminology, office software, technical reporting, etc.)
  • Ability to distill and present complex information in a clear and concise manner (spoken and written) 

Additional Beneficial Skills

  • Experience with project management tools and concepts (e.g., Kanban, Gantt, Jira, Confluence, etc.)
  • Experience in a customer-service or client-focused role
  • Experience with engineering and manufacturing processes (Lean, ISO, etc.) and standards (MIL-STD, IEC, etc.)
  • Hands-on experience with computer hardware, motors, electronics, software development, etc.
  • Additional spoken and/or written languages
