We are seeking a motivated and detail-oriented Sales Administrator to join our team and play a key role in supporting international sales initiatives, customer engagement, and market research. Based at our headquarters in Port Coquitlam, BC, this role will combine sales administration responsibilities with marketing and operational support, providing valuable hands-on experience in sales operations, proposal preparation, and CRM management.
This role is ideal for candidates who are eager to gain real-world exposure to B2B sales, international business development, and marketing in a dynamic and fast-growing marine technology company.
RESPONSIBILITIES
- Assist the sales team with all administrative tasks related to the processing of orders, including preparing and checking order documentation, ensuring accuracy, and following up on order fulfillment.
- Support the sales team in preparing proposals, presentations, quotes, and other sales collateral.
- Create, package, and distribute regular communication materials for our global distributor and dealer network (newsletters, updates, pricing notices, product information).
- Act as a liaison with our external marketing company, coordinating requests, ensuring deliverables are on time, and aligning messaging with sales needs.
- Coordinate international trade show participation, including logistics, materials, schedules, and pre/post-show support.
- Organize and oversee customer demonstration events, ensuring logistics, scheduling, and resource availability.
- Work closely with the Import/Export Coordinator to align product availability, shipping schedules, and documentation for goods being showcased at trade shows, demo events, and client deliveries.
- Maintain and update CRM systems (e.g., NetSuite), ensuring customer records, order status, and proposal tracking are current.
- Coordinate with marketing to develop content for email campaigns, product materials, and dealer/distributor support.
- Monitor, track, and report on sales metrics, order statuses, lead follow-up, and customer satisfaction.
- Liaise with internal teams (production, finance, shipping, technical support) to ensure smooth order flow and customer service.
- Identify opportunities for process improvements in sales admin workflows, order processing, and communications.
- Perform other sales and marketing operations tasks as needed (e.g., vendor communications, sample/demo unit tracking, travel arrangements, budget tracking).
QUALIFICATIONS
- Required:
Highly detail-oriented, with strong precision and accuracy in documentation and ability to catch errors. - Excellent written and verbal communication skills in English.
- Strong organizational skills; ability to coordinate multiple stakeholders (internal staff, external vendors, customers).
- Comfortable liaising with external marketing partners and ensuring alignment with company goals.
- Strong proficiency in Microsoft Office (especially Word, Excel, Outlook, PowerPoint).
- Ability to work effectively in a fast-paced environment with shifting priorities.
- Strong time management skills and ability to juggle multiple deadlines.
- Proactive, self-starter attitude with a desire to take ownership of responsibilities.
- Excellent customer service and interpersonal skills.
Nice to have/Preferred:
- Experience with CRM or ERP systems (Salesforce, NetSuite, or similar).
- Familiarity with international trade show logistics and event planning.
- Understanding of import/export coordination and freight processes.
- Basic technical aptitude or ability to understand product/industry context (marine, defense, electronics).
- Previous experience in a sales administration, customer service, or order management role.
- Additional languages are an asset.

SALARY RANGE: $45,000 – $65,000 annually, with potential for higher compensation for exceptional qualifications and experience.
