Job Summary

We are seeking a motivated and highly detail-oriented Sales Administrator to join our team and play a key role in supporting international sales initiatives and customer engagement. Based at our headquarters in Port Coquitlam, BC, this role will combine sales administration responsibilities with operational support, providing valuable hands-on experience in sales operations, proposal preparation, and CRM management.

This role is ideal for candidates who are eager to gain real-world exposure to B2B sales, international business development, and marketing in a dynamic and fast-growing marine technology company. 

Responsibilities 

  • Maintain and update CRM systems (e.g., NetSuite), ensuring customer records and order status are extremely accurate and current.
  • Communicate with customers regarding technical documentation, shipment progress, and other order-related updates; ensure information shared is timely and accurate.
  • Process sales orders end-to-end in our CRM, including preparing, reviewing, and validating all order documentation for completeness and accuracy; follow through on fulfillment and resolve discrepancies.
  • Assist the sales team in proposals, quotes, and other sales collateral.
  • Enter and maintain leads, contacts, and opportunities in the CRM with a high standard of data accuracy (naming conventions, duplicates, required fields etc.
  • Partner with the Import/Export Coordinator to align shipping schedules, and export documentation. 
  • Monitor, track, and report on sales metrics (order status, lead follow-up, delivery milestones, customer satisfaction); reconcile discrepancies between CRM, shipping updates, and internal records.
  • Coordinate with internal teams (production, finance, shipping, application engineering) to ensure a smooth order flow; document decisions, action items, and next steps to prevent missed details. 
  • Perform routine quality checks on key sales documents and records (POs, order confirmations, shipping details, part numbers, pricing, and customer information) and correct issues before they impact customers.
  • Maintain templates, checklists, and standard operating procedures for sales administration to support consistent, error-free execution and a clear audit trail.
  • Identify and implement process improvements to reduce errors and cycle time in sales administration workflows (order processing, documentation, CRM practices, and customer communications). 
  • Handle customer and commercial information with discretion; follow internal procedures for document storage, access control, and data accuracy. • Perform additional sales operations support as needed such as booking restaurants, hotels, and other trip logistics. 

Qualifications - Required: 

  • Highly detail-oriented, with strong precision and accuracy in documentation and ability to catch errors.
  • Excellent written and verbal communication skills in English.
  • Strong organizational skills; ability to coordinate multiple stakeholders (internal staff, external vendors, customers).
  • Strong proficiency in Microsoft Office (especially Word, Excel, Outlook, PowerPoint).
  • Ability to work effectively in a fast-paced environment with shifting priorities.
  • Strong time management skills and ability to juggle multiple deadlines.
  • Proactive, self-starter attitude with a desire to take ownership of responsibilities. 
  • Excellent customer service and interpersonal skills. 

Nice to have/Preferred:

  • Experience with CRM or ERP systems (Salesforce, NetSuite, or similar).
  • Understanding of import/export coordination and freight processes.
  • Basic technical aptitude or ability to understand product/industry context (marine, defense, electronics).
  • Previous experience in a sales administration, customer service, or order management role.
  • Additional languages are an asset.

Salary Range: 

$45,000 – $65,000 annually, with potential for higher compensation for exceptional qualifications and experience.
